On the 31st October PD afternoon, Raewyn Donnell ran a google drive, docs and classroom session for beginners. She has put a range of instruction sheets together on various skills and tools within the google drive and docs environment. While her session was for beginners, some of the instructions are still useful for those more experienced staff to have a look at, in particular the one on voice typing. These are listed below
These are the notes for Claire Guy's PD session on 31st October 2016. It gives instructions for how to share google folders with your students.
Many of us have extremely valuable resources and worksheets that we have used for many years with our students as a paper copy. Now we are able to share these documents digitally and make life a whole lot easier for both us and our students. So why should we re-type these into a google doc, WE SHOULDN'T! Lets use technology to help us. You can upload an existing word document, excel spreadsheet or powerpoint and either share it for students to read or convert it to a google version to be used and edited. The instructions below show how to upload an existing document you have. The next blog post will show you how to convert that to a google version. And another following blog post will provide instructions for how to fully utilise google to send a google doc to each and every student at the simple click of one button in google classroom.

Converting a word doc to a google doc enables you to send worksheets via google classroom assignments to each and every one of your students very easily. The next blog post will provide instructions on how to send a document via a google classroom assignment. This blog post provides instructions for how to convert a word doc, the same process can be used for converting an excel spreadsheet or PowerPoint file. Click here if you would like to view these instructions full screen. Without organisation, your google drive can quite quickly start to feel quite overwhelming. Like any other storage location, organisation of your files and folders is the answer. After over 3 years of using google drive, I have come up with some standard folders that I think will enable you to sort your drive out. They are shown in the image below. The Classroom folder is a little different to all of the others. DO NOT create this folder if you don't have one in your My Drive. It is created automatically when you send a class an assessment or document in google classroom. All of your students assessments and copies any document you have shared with a class are stored here. Do not go altering class folders within this folder either as this will create alot of confusion. I recommend you make this folder RED, meaning it's a NO GO folder! To To change the color of a folder click right click on the folder, click on 'Change Colour' and select the colour red. MY CURRICULUM FILES In this folder I store any files I have made for particular subjects/courses. So within this folder, I have folders for each of the courses I teach with worksheets, activities, lesson plans etc inside. WGHS MASTER FOLDER This folder is owned by an overall school admin account. If it does not appear in your My Drive, DO NOT create this one either. When you join the WGHS staff, and your accounts are created, this folder is shared with you.
3. Type in WGHS Master. The file should appear in the search list. 4. Click on it. 5. Click on the little arrow next to WGHS Master title. 6. Click on ‘Move to’ or ‘Add to My Drive’. (mine is already in My Drive so the ‘Add to My Drive doesn’t show on the list below!) Color coding your folders also helps to make your daily life a little easier when navigating through your drive.
Now it can seem a little overwhelming, trying to get your files sorted. However a little bit of time spent doing this will be well worth it and will definitely make you feel more organised. Happy sorting :)
I have just converted the schools extension request form to a google doc. It is saved in my Google Drive. I have then also shared it on the ABOUT page in google classroom for my students to access when they need to (without me having to go photocopy one for them!) To use the one that is already created (remember we're not about re-creating the wheel all the time!), click on this link. Then click File/Make a Copy. Your own copy will then be saved in your My Drive. |
